2. option 2: Implementation & Project Management (Contract Basis)
If you want the transition to be 100% hands-off, you can hire me to manage the entire rollout virtually. I’ll coordinate directly with the VOIP vendor & your onsite tech team.
- What’s included: Data migration oversight, call-flow design, AI agent training, and staff onboarding.
- Cost depends on scope:
- Small rollouts 1-10 users: $1500 flat fee
- Mid Size rollouts 11-50 users $2500-3500 flat fee
- Large rollouts 51+ users: $5,000+ flat fee or a per seat implementation fee $100+ per user
3. OPTION 4: Ongoing Strategic Partnership & System Management (retainer)

What I Do (The Strategic Liaison)
New Feature Onboarding: When your provider releases new tools (like new AI capabilities or hardware integrations), I evaluate if they fit your business and coordinate the rollout to your team.
Vendor Management & Advocacy: I act as your primary point of contact for the VOIP provider. If there is a billing discrepancy, a feature request, or a high-level service issue, I handle the vendor communication so you don’t have to wait on hold.
Workflow & IVR Optimization: Businesses change. I periodically review and update your “Phone Tree” (IVR), ring groups, and call routing to match your current staffing and department structure.
Quarterly System Audits: Every 90 days, I review your usage analytics. Are you paying for seats you aren’t using? Is there a high rate of abandoned calls? I provide a summary report with actionable improvements.
AI & Automation Oversight: If applicable, I manage your AI Agents and custom workflows—refining how your AI handles calls and ensuring your CRM integrations are syncing correctly.
What the Vendor Does (Technical Troubleshooting)
To ensure you have 24/7 coverage, I leverage the provider’s US-based technical support for “break-fix” issues.
